Visit Guidelines for Entertainers

We are delighted by your interest in visiting Children's Hospital and helping to make a hospital stay a positive experience for our patients. A puppet show, musical performance, craft activity, party, or visit from a celebrity or cartoon character means a lot to children in the hospital.

Here are our guidelines for your visit.

Before your visit

Visits are available Monday through Thursday at 10:30 a.m. or 2:30 p.m., and Friday at 10:30 a.m.

Volunteer services must approve all special visitors. For more information, call (615) 322-2379.

We review completed entertainment visitor request forms on a monthly basis. We will contact you about your request within four weeks. A completed form does not guarantee an approved volunteer event.

You must be at least 16 years old. If you are age 16-18, an adult must accompany you during your visit. Special visitors and volunteers may bring children, friends, relatives, or other visitors with them while volunteering.

You must sign a confidentiality agreement and a health screening form prior to visiting patients and families.

For a performance on the Performance Stage, up to 10 visitors may be in the group. Programs must be appropriate for children and teens of all ages.

For a personal interaction/activity at the Performance Stage (e.g. bingo), up to five volunteers may be in the group.

For a personal interaction/activity in one of the playrooms (e.g. arts/crafts), up to three volunteers may be in the group.

If you anticipate media covering your visit, please make note of this on the entertainment visitor request form.

During your visit

For driving directions to Children's Hospital, visit Maps/Parking. The hospital address is

Parking is available in South Parking Garage located next to Children's Hospital. Enter Children's Hospital through the second floor entrance.

Upon arrival, please go to the Volunteer Services office in Suite 2504.

For help on the day of your visit, call the Volunteer Services Office at (615) 322-2379.

A member of our IT support group will help with any audio and visual needs during your performance. Note on the entertainment visitor request form that you have AV needs. A member of our IT support group will contact you directly.

Children in the hospital have limited attention spans and energy levels. Please limit your performance to 30 to 45 minutes.

Activities should be easily adapted for children of all ages and abilities.

Please make advance arrangements if you want to have photographs of patients taken for personal use or publication. Written permission of the child and parent on a Vanderbilt photo release form is required.

Our patients come from many religious, political, and cultural backgrounds. The content of your presentation must be religiously and politically neutral.

Toys or favors approved by Volunteer Services may be distributed to patients. If you are bringing favors, please plan on providing for 100 patients. No food or candy may be distributed.

Performances must not include the use of latex balloons, fires, candles, fireworks, knives, or other potentially harmful materials.

Please remember that jokes and funny stories should not discredit situations or medical personnel. Making fun of doctors or treatment may frighten a child or make them uncomfortable.

Activities must not deal with threatening themes such as death, separation, abandonment, mutilation, illness, and/or medical procedures.

Costumes must not be frightening, and faces should be visible. Please, no costumes portraying monsters, or wicked or evil characters.
